JOB DESCRIPTION SUMMARY
The Pupil Transportation Agent is directly supervised by the Director of Transportation and is responsible for supporting transportation responsibilities within and outside of their focus area which may include the Program for Students with Exceptionalities (Special Education), nonpublic, and public-school students.
The Pupil Transportation Agent coordinates bus and transportation schedules. This position works closely with Carriers, School Leaders, and other District personnel to establish and maintain the proper and updated transportation information for all students in need of transportation.

ESSENTIAL FUNCTIONS
- Establish transportation routes utilizing the district’s routing software for students using contracted carriers and PRT’s public transportation.
- Interprets data from the Program for Students with Exceptionalities department as well as other sources to assign routes to students and reduce waiting time prior to establishing transportation.
- Assign students to transportation routes while considering timing, vehicle capacity, and conflicting vehicle trips.
- Log, produce and maintain daily electronic records of routing software issues within the online tracking software and provide supervisor with weekly status reports.
- Maintain routing software documentation, manuals and maps while ensuring they are up to date.
- Compile and track all student information within the routing software to include but not limited to stop change requests, joint custody scheduling, request for alternative drop offs, McKinney-Vento emails and student correspondences.
- Manually update the software system for data received from the Program for Students with Exceptionalities, McKinney-Vento, and other stakeholders as required.
- Collaborate in a professional and proactive manner with contracted carriers, dispatchers, safety personnel and drivers regarding day-to-day operations and to resolve complaints.
- Correspond via telephone with carriers, schools and families to ascertain problems while always ensuring professional etiquette.
- Ensure assigned routes are running as scheduled and in compliance with carriers’ contracts by monitoring routes, maintaining surveillance, and conducting in-person inspections.
- Serve as a liaison between carriers and schools as well as carriers and families to assist with complaints, route changes, and student behavioral issues.
- Assist in providing support and direction of buses at district-sponsored activities and events.
- Ensure compliance with district policies and procedures while reporting violations to supervisor.
- Document various procedures within the department and recommend improvements.
- Provide regular updates to supervisor regarding progress towards goals and challenges to meeting goals
- Participate in all required district, department, and team meetings.
- Participate in departmental, team, and individual planning and goal setting.
- Communicate effectively and confidentially at all levels, over the phone, face-to-face, and electronically.

· Experience entering and managing data and files
· Experience familiarity with Transportation logistical software.
· Ability to analyze data to make an informed decision.
· Ability to organize and utilize resources to achieve results.
· Knowledge or experience in deciphering transportation contracts.
· Experience working with carriers.
· Experience working with youth safety.
· Reliable transportation to travel to various carrier and school sites.
· Experience or ability to conduct presentations and trainings.
