Description
The Assistant Manager, Gift Systems is responsible for effectively managing operations of gift processing and gift data ensuring timeliness and accuracy. In collaboration with supervisor, designs and maintains systems for efficient work that conform with both best practices in the field and organizational policies. Supervises team of gift processors, guaranteeing high standards of data cleanliness and integrity are met. Responsible for frequent and clear communication to stakeholders around process and system disruptions, obstacles, and changes. Supports overall department goals of being donor-centered, cooperative, and transparent. Required to meet daily and weekly productivity goals, including, but not limited to, speed, volume, and accuracy.
QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
- Bachelor’s Degree and at least two years of data entry or processing, financial management, or similar work required; will consider commensurate experience.
- Supervisory experience preferred.
- Experience working in non-profit educational or cultural organizations is desirable.
- Experience with Blackbaud or Tessitura products is a plus.

- Strong commitment to and understanding of data hygiene.
- Must have excellent communication, customer service, and organizational skills.
- Must be technologically proficient and comfortable with exploring and learning new technologies.
- Demonstrated ability to maintain confidentiality, discretion, and to interact well with all levels of staff.
PHYSICAL REQUIREMENTS:
- Work is primarily sedentary in nature; no special demands are required.

ESSENTIAL FUNCTIONS AND ACCOUNTABILITIES:
- Manages and provides training, support, and feedback on work product for assigned staff.
- Manages and ensures compliance with processing, acknowledgement, and reporting schedules. Responsible for alerting management to any issues that prevent adherence from expected schedules and for routine reporting tasks to measure performance.
- Maintains and further develops the overall integrity and quality of the gift databases and systems, including routine data: improvement, auditing, systems checks, and improving system functionality.
- Responsible for identifying opportunities for improved data quality, reduced data entry errors, and cross-departmental collaboration.
- Develops expertise across all ticketing, donation, and gift management systems to act as primary point of contact for connecting departments, in conjunction with AD Advancement Operations and Donor Services.
- Develops internal processes including creating and maintaining appropriate quantitative reports and analyses to consistently track, measure, and report on gift data.
- Provides prompt and courteous responses to internal inquiries. Understands, explains, and applies rules, regulations, policies, and procedures associated. Analyzes situations accurately and adopts appropriate courses of action.
- Responsible for ensuring accurate record keeping in gift, donor, and financial databases. Must respect confidentiality of data and ensure ethical standards of the field are followed. Keeps information about processes and procedures current and stored in the appropriate location.
- Produces and updates documentation around processes and procedures for gift processing team and performs training for all gift processing staff.
- Processes all types of gift and donation transactions.
- Oversees accurate daily transmittal of financial information from donor database to financial database.
- Works directly with Cashiers Office on allocation of funds and to resolve any processing issues in a timely manner.
- Accomplishes responsibilities in a timely fashion with minimal supervision and meets established deadlines.
- Performs other duties as assigned and takes on special projects as needed to meet the goals of the department.
