Description
The Technology Project Assistant - Temporary is responsible for performing various administrative and communications functions to ensure the successful implementation of Tessitura and related software products.
This is a Temporary Benefits Eligible assignment expected to run from August 1, 2025 through July 31, 2026.
QUALIFICATIONS:
EDUCATION:
- High school diploma required.
- Associate or bachelor’s degree in technology, business administration, arts/cultural management, or similar field preferred.
- Preferred 3 years’ experience in an office environment and/or experience with implementing new technology in a business environment.
KNOWLEDGE, SKILLS AND ABILITIES:
- Requires excellent organizational, interpersonal and communication skills. Must be highly organized, skilled at time management, and be able to set and carry out short-term goals while keeping long-term goals in mind.
- Must have the ability to work professionally and collaboratively with colleagues from diverse backgrounds in a team-oriented environment.
- Must have the initiative to undertake and complete tasks as they arise and make recommendations for improvement.
- Strong writing skills, especially concerning technical topics, are highly preferred. Proficiency with Microsoft Outlook, Excel, SharePoint, Trello, and/or other productivity/project management software is highly preferred.
PHYSICAL REQUIREMENTS:
- Work is primarily sedentary in nature, no special demands are required.
PRINICPAL ACCOUNTABILITIES:
- Manages logistics for Tessitura implementation project including: coordinate and manage all logistics for regular meetings, staff training, and implementation tasks; create and organize documentation materials; record invoices and maintain project budget documentation.
- Prepares project meeting materials for internal and external meetings, including agendas, summaries, presentation materials and other relevant documentation. Attends meetings as requested, records meeting minutes, and distributes minutes in an accurate and timely fashion.
- Manages project documentation such as timelines, task lists, and summary reports. Updates project trackers with progress from all team members.
- With input from project leadership, track project-related expenses as needed; process, verify, code and reconcile invoices and purchase card expenses in a timely manner; create follow-up financial and narrative reports as requested.
- Facilitate user acceptance testing workshops; log and track progress on issues arising from testing; facilitate communications between staff and external vendors to resolve issues.
- Organizes end user training sessions through meeting logistics for both in-person and virtual training sessions. Maintains training materials and resources.
- Carries out basic tasks and testing within the software as instructed by project leadership, when required.
- Attends meetings as required and participates in discussions as appropriate. Contributes to the overall team effort by sharing ideas in the decision-making process.
- Accomplishes responsibilities in a timely fashion with appropriate supervision and direction. Meets established deadlines. Asks for clarification when tasks or expectations are not clear.
- Performs other related duties as required.
Expected starting pay range, based on experience, $18.00 - $21.00 per hour.
